What it takes off your plate

Recruiting at most studios starts the day someone quits. The owner posts on social media, texts a few instructors they know, and books auditions wherever they fit. One evaluator loved the candidate's energy, another thought the cueing was off, and nobody wrote anything down in the same way. The hire happens because the schedule has a hole in it next week.

Onboarding is a tour of the studio, a quick look at the sound system and a good luck. The new coach finds out about check-in procedures, waiver rules and the playlist policy in front of members. When the fit is wrong, it takes months of member complaints to find out. The cost is owner hours, rushed hires, and classes that suffer while you fix it.

What the Instructor Agent does, step by step

It starts with the conversations. The Instructor Agent posts your openings with the description you approve, replies to every applicant, and asks the screening questions you set: which formats they teach, which certifications they hold, what days and times they can cover. Between openings, it keeps in touch with promising past applicants and with coaches your current instructors refer, so there is a bench when you need one.

When a candidate looks right, it books an audition: a short sample class taught to your staff or a few volunteer members. It sends the candidate the format, the music guidelines and the arrival time, and sends reminders to the evaluators. After the audition, it sends each evaluator the same scorecard, covering cueing, safety, energy, modifications and member connection, and follows up until every score is in.

When the owner makes an offer, the agent sends the offer letter and the new-hire paperwork and chases each signature and document: tax forms, certification copies, CPR and first aid cards, and your policies. It books a shadow shift with a mentor instructor, then a co-taught class, then the first solo class with the mentor in the room.

Then the data work. The agent tracks every candidate by stage, compiles the scorecards side by side, and holds the onboarding checklist for each new hire. When the checklist is complete, it asks the manager to add the instructor to the staff roster in Mindbody and to the class schedule.

The Instructor Agent does not hire. The owner and head coach decide who gets an offer and when a new coach is ready to teach alone.
